Role Overview: Human Resources & Operations Associate

The Human Resources & Operations Associate plays a central role in ensuring the smooth functioning of HERA’s global workforce systems. The position supports HR administration, employee lifecycle coordination, internal operations, and cross-team communication. It is designed for a highly organized professional who enjoys building structure, improving systems, and supporting people in a mission-driven environment.

The role reports to the Director of Operations & Reporting and works closely with the Finance & Administration team, external HR service providers, and global operational partners. These include Professional Employer Organization (PEO) and Employer of Record (EOR) systems, IT vendors, recruitment partners, and compliance stakeholders.

Key Responsibilities Across HR and Operations

The Human Resources & Operations Associate is responsible for supporting both human resources coordination and broader organizational operations. The work is divided across three main functional areas.

Human Resources Coordination and Employee Lifecycle Support

In this area, the role focuses on ensuring smooth HR processes across a distributed global workforce. Responsibilities include:

  • Coordinating onboarding and offboarding for domestic and international employees
  • Managing employee documentation, contracts, and personnel records
  • Supporting payroll coordination, benefits administration, and compliance tracking
  • Serving as a liaison with PEO and EOR service providers
  • Assisting with recruitment logistics, including scheduling interviews and communication with candidates
  • Maintaining staff directories, organizational charts, and HR tracking systems
  • Ensuring HR policies and onboarding materials remain updated and accessible

This function ensures consistency and compliance across multiple jurisdictions and employment structures.

Operational and Administrative Coordination

The second area of responsibility focuses on internal coordination and organizational efficiency. The associate supports daily operational needs across teams and functions, including:

  • Scheduling meetings, coordinating calendars, and managing follow-up actions
  • Supporting vendor communication and external service coordination
  • Assisting with travel logistics and organizational planning needs
  • Strengthening internal communication flows between departments
  • Documenting workflows and contributing to process improvements

This function ensures that teams remain aligned and that operational tasks are completed efficiently across time zones.

Systems, Data Management, and Process Improvement

The third area of responsibility involves maintaining and improving internal systems and operational infrastructure. Key tasks include:

  • Maintaining HR databases, trackers, and internal documentation systems
  • Supporting IT coordination for onboarding, equipment setup, and system access
  • Ensuring accurate recordkeeping across HR and operations platforms
  • Identifying opportunities for process improvement and efficiency gains
  • Supporting the development of scalable systems for organizational growth

This area is essential for maintaining data integrity and operational consistency across a rapidly scaling organization.

Candidate Profile and Required Skills

The ideal candidate for this role is a detail-oriented, highly organized professional with experience in human resources or operations support. They are comfortable working in remote, cross-cultural environments and managing multiple priorities simultaneously.

Key qualifications include:

  • 2–5 years of experience in HR, operations, administration, or related fields
  • Experience supporting onboarding and employee lifecycle processes
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication abilities
  • Ability to work independently in a remote environment
  • High level of discretion when handling sensitive information
  • Proficiency in Microsoft 365, Excel, Teams, and related tools

Compensation and Work Environment

The position offers a minimum salary of $65,000 annually, with variation depending on experience and location. The role is fully remote within the United States and is embedded in a global, mission-driven organizational culture.
