About the Consultancy
Following a major organizational restructuring, TaRL Africa aims to consolidate its fragmented digital workplace into a unified knowledge management ecosystem.
The consultant will assess existing systems, identify knowledge gaps, improve governance, strengthen data security, and develop a roadmap for migrating organizational knowledge into a standardized Microsoft 365 environment while integrating Artificial Intelligence responsibly.
The consultancy will focus on improving collaboration across Finance, Human Resources, Programs, Research & Learning, Communications, and External Relations.
Key Responsibilities
The successful consultant will:
- Conduct a comprehensive audit of existing knowledge management systems and workflows.
- Map how information is created, stored, shared, and lost across departments.
- Develop user personas to improve system usability across varying technical capacities.
- Review and streamline organizational technology platforms.
- Design standardized knowledge architecture and folder structures.
- Define a “Single Source of Truth” for organizational information.
- Develop migration strategies for Microsoft 365 and related platforms.
- Strengthen data governance, access controls, backup systems, and disaster recovery plans.
- Assess compliance with data protection regulations across multiple African countries.
- Develop governance frameworks for integrating Artificial Intelligence into organizational knowledge management.
- Deliver a strategic implementation roadmap for long-term KM improvements.
Project Deliverables
During the 12-week assignment, the consultant will deliver:
- Knowledge Management Discovery and Policy Audit Report.
- User Profiles and Organizational Knowledge Mapping.
- Priority Recommendations for KM System Improvements.
- Data Management and Information Flow Blueprint.
- Migration Architecture and Content Restructuring Plan.
- Data Security, Privacy, and Access Audit.
- Final Knowledge Management Implementation Roadmap with phased recommendations for a 6–9-month rollout.
Required Qualifications
Applicants should demonstrate:
- Extensive experience leading enterprise Knowledge Management initiatives.
- Strong background in digital transformation across Finance, HR, Research, and Program operations.
- Experience implementing Microsoft 365 and integrated digital workplace solutions.
- Knowledge of data governance, cybersecurity, and organizational information management.
- Familiarity with Sub-Saharan African data protection regulations, particularly in Kenya, Nigeria, South Africa, Zambia, and Côte d’Ivoire.
- Proven experience delivering KM projects within African organizations.
- Ability to design user-centered systems for low-bandwidth environments.
- Experience integrating platforms such as Microsoft Teams, Google Workspace, Kobo, SurveyCTO, STATA, BambooHR, Asana, Dynamics 365, HubSpot, Power BI, and Zoom.
- Strong strategic planning, budgeting, and Return-on-Investment analysis skills.
