
Position: Administrative Assistant
Location: Remote (Preference for candidates based in Latin America or Africa)
Time Commitment: 6 hours a day / 5 days a week / One-year contract
Compensation Range: $24,000 – $28,000 (for 30 hours per week), dependent on location, experience, and qualifications.

About the Global Gas & Oil Network (GGON)
GGON is an international non-profit network of civil society organizations formed to support global efforts to halt the expansion of oil and gas production. Their mission is aligned with the climate goal of keeping global warming below 1.5°C, through a just and equitable phase-out of oil and gas production. Since its founding in 2017, the network has grown to include over 300 organizations across more than 60 countries and operates as a fully virtual team spread across multiple continents. GGON provides critical infrastructure and support to its diverse members, coordinating strategic initiatives, research, and facilitating communications.
Position Overview
The Administrative Assistant will play a critical role in supporting the operations of GGON. You will work directly with the Operations Manager to ensure that operational processes run smoothly and support the achievement of the organization’s operational priorities. Your responsibilities will include administrative support across various aspects of GGON’s work, such as expense processing, contracts, invoicing, travel coordination, and event management.
Key Responsibilities
Admin Support and Processes
- Process expenses and payment approvals within specific project budgets.
- Provide administrative support to staff and consultants, ensuring access to necessary tools and systems.
- Coordinate calendars, scheduling meetings across multiple time zones.
- Provide ad-hoc administrative support as required.
Contracts and Grant Agreements
- Assist in drafting contracts and grant agreements, ensuring proper filing and documentation.
Invoicing and Expense Processes
- Process pre-approved invoices, recurring invoices, and expense claims.
- Collect invoices and expense claims, securing necessary approvals and sending them for payment.
Interpretation and Translation Support
- Assist with the processing of interpretation and translation requests.
- Maintain a database of high-quality interpreters and translators.
Travel Management
- Research and identify travel options for team members, including flights and accommodation.
- Assist with securing travel insurance, processing expense claims, and ensuring all necessary travel documents are in order.
- Help coordinate travel logistics for network members attending GGON events.
Event Logistics
- Assist with organizing GGON’s Biannual Retreat and other network events, including team meetings and regional gatherings.
- Provide support in event logistics and organization as needed.
Profile of the Successful Candidate
Essential Requirements:
- Significant experience in administrative assistant roles with a focus on operational support and logistics.
- Proficiency in English (both written and spoken); additional language skills (Spanish, French, or Portuguese) are highly preferred to support GGON’s global network.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines independently.
- Strong commitment to social justice and the fight against climate change.
- Reliable internet access for remote work.
- Willingness to travel as needed.
Desirable Skills:
- Experience supporting a remote team.
- Knowledge or experience in climate justice or civil society work.
