Role Overview
The Program Coordinator is a senior management role responsible for overseeing a portfolio of international development projects. The position creates the operational and managerial conditions necessary for country teams to effectively implement IMPACT programming and achieve intended outcomes.
The Program Coordinator ensures strong alignment between project implementation, organizational strategy, and donor requirements. Acting as a key link between national management and in-country teams, the role is accountable for project quality, compliance, coordination, and performance oversight.
Key Responsibilities
Project Coordination and Quality Assurance (50%)
- Serve as a central coordination point between national management, country teams, and partners, ensuring clarity on project scope, objectives, and deliverables
- Collaborate with project managers to develop detailed project plans, including activity schedules, budgets, and resource allocations, using Results-Based Management (RBM) principles
- Organize and facilitate regular project meetings, ensuring accurate documentation and follow-up on action items
- Provide ongoing technical and operational support to project staff to enable effective implementation
- Monitor project progress closely, proactively identifying risks or delays and proposing corrective actions
- Prepare high-quality narrative and progress reports for donors and IMPACT senior management
- Review and approve project-related contracts, ensuring compliance with organizational policies and donor agreements
Finance, Administration, and Human Resources Oversight (30%)
- Review and approve project expenditures to ensure alignment with approved budgets and financial accountability
- Coordinate with internal departments on contracting processes for project staff, consultants, and services
- Conduct regular competency assessments for direct reports, documenting progress and supporting professional development and learning
Team Support and Organizational Culture (20%)
- Provide guidance and support to staff, fostering a positive, collaborative, and learning-oriented work environment
- Support team members in developing effective work plans, time management strategies, and workload prioritization
- Assist with project budget management, including planning, analysis, and reporting using tools such as budget variance or budget versus actuals
- Promote and ensure adherence to IMPACT’s organizational policies, including the Code of Conduct and Safeguarding Policy
Essential Qualifications and Experience
- Undergraduate degree or equivalent in fields such as international development, social sciences, engineering, business, administration, or related disciplines
- Minimum of 8 years’ experience managing international development programs
- At least 5 years’ experience leading and managing multi-disciplinary teams of staff and consultants
- Proven experience with donor reporting and compliance, preferably with donors such as Global Affairs Canada, the European Union, UNEP, GIZ, or USAID
- Strong background in monitoring and evaluation, with preference for familiarity with GAC Results-Based Management frameworks
- Proficiency in professional software tools including Microsoft Word, Excel, Zoom, and document management platforms
- Experience related to natural resource governance or artisanal and small-scale mining is an asset
- Fluency in French and English (spoken, written, and reading); working proficiency in Spanish
