The Global Methane Hub (GMH) is seeking a highly organized and proactive Remote Administrative Assistant to support its senior leadership team. About the Role
The Administrative Assistant will provide executive and operational support to three members of GMH’s leadership team:
- Director of Development and Impact
- Chief of Staff and Operations
- Chief Financial and Administrative Officer
Reporting directly to the Director of Development and Impact, the successful candidate will help coordinate schedules, manage travel, organize meetings, maintain records, and support organizational operations across multiple international time zones.
This is a remote, full-time position (40 hours per week) with a preference for applicants located between the GMT-4 and GMT+1 time zones.
Key Responsibilities
The successful candidate will play an essential role in ensuring the smooth day-to-day operations of the leadership team.
Primary responsibilities include:
- Managing complex executive calendars across multiple international time zones.
- Scheduling meetings and resolving calendar conflicts.
- Preparing meeting materials and recording meeting notes.
- Tracking action items and ensuring timely follow-up.
- Coordinating domestic and international travel, including flights, accommodation, visas, and transportation.
- Preparing detailed travel itineraries and briefing documents.
- Organizing digital files and maintaining operational records.
- Processing executive expense reports in accordance with financial procedures.
- Supporting virtual and in-person events, workshops, and convenings.
- Maintaining stakeholder and partner contact databases.
- Coordinating communication between internal teams and external partners.
- Supporting the implementation and use of organizational systems.
- Performing additional administrative duties as assigned.
Qualifications
Global Methane Hub is looking for candidates who demonstrate strong organizational skills and a commitment to supporting mission-driven work.
Preferred qualifications include:
- Two to three years of experience in an administrative or executive support role.
- Experience working with international organizations or NGOs is an advantage.
- Proficiency in Google Workspace, Microsoft Office, and Zoom.
- Excellent written and spoken English.
- Spanish and/or French language skills are considered an asset.
- Strong organizational and multitasking abilities.
- Experience coordinating calendars across multiple time zones.
- Excellent interpersonal and communication skills.
- Ability to work independently while collaborating within multicultural teams.
- Flexibility to occasionally work outside normal business hours due to global operations.
- Passion for climate action and environmental sustainability.
