About the Role
The Executive Assistant will provide comprehensive administrative and operational support to the Executive Director while assisting the Executive Leadership Team with scheduling, travel coordination, event planning, communications, and strategic initiatives.
The role also supports key organizational projects, including the Open Energy Research and Analytics Consortium, ensuring efficient coordination across a fully remote and internationally distributed workforce.
Key Responsibilities
The successful candidate will:
- Manage executive calendars, appointments, and meeting schedules.
- Coordinate meetings and maintain accurate records of follow-up actions.
- Draft, edit, and organize correspondence, reports, and internal documents.
- Arrange domestic and international travel, including flights, accommodation, and transportation.
- Resolve travel disruptions efficiently when unexpected changes arise.
- Support planning and logistics for leadership retreats, workshops, and organizational events.
- Coordinate communication with board members, donors, vendors, and external partners.
- Maintain strict confidentiality when handling sensitive organizational information.
- Identify opportunities to improve administrative workflows and operational efficiency.
- Provide administrative support for strategic initiatives led by the Executive Director.
Required Qualifications
Applicants should possess:
- At least 2 years of experience in executive assistance, administrative support, or office operations.
- Fluency in English.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- High attention to detail and ability to manage multiple priorities.
- Ability to maintain confidentiality and exercise sound professional judgment.
Preferred Qualifications
Ideal candidates will also have:
- Experience supporting executives or senior leadership teams.
- Experience coordinating travel and large-scale events.
- Proficiency in Google Workspace, Microsoft Office, and remote collaboration platforms.
- Ability to work independently in a fully remote environment.
