Position Overview
The Girls First Fund (GFF) is seeking a collaborative, motivated Operations Associate to join its Operations Team. This role provides critical administrative and operational support across the organization.
Working closely with the Senior Operations Officer and the Director of Operations, the Operations Associate helps implement systems and policies that ensure effective resourcing of grant partners and the smooth functioning of the GFF team.
Core Functions
The Operations Associate contributes to organizational efficiency through support in:
- General administrative and operational assistance across GFF teams.
- Ongoing administrative support for grantmaking processes in coordination with the Programs Team.
Key Responsibilities
1. Grants Management Processes
- Support due diligence and compliance reviews for grantee partners in collaboration with Programs and the Senior Operations Officer.
- Assist with administrative steps in the grantmaking cycle, including:
- Conducting OFAC checks.
- Monitoring grant payment processes and acknowledgements.
- Ensuring timely release of grant payments and documentation of contingencies in the GMS system.
- Drafting official correspondence to grantees (e.g., bank letters) and coordinating with the fiscal sponsor.
- Monitor country-specific email inboxes in partnership with the Programs Team.
2. Operational Support
- Support implementation of GFF policies and systems.
- Monitor central email accounts (info@ and recruitment@), responding or redirecting inquiries appropriately.
- Maintain and organize GFF’s SharePoint platform.
- Support payment of event and meeting stipends.
- Assist with hiring and onboarding of vendors and team members.
- Conduct research to identify operational improvements that enhance communication and efficiency.
3. Travel and Event Logistics
- Provide documentation and letters needed for staff travel.
- Collaborate with the Executive Assistant and Senior Operations Officer on logistics for retreats, workshops, convenings, and team-building events.
4. Translation and Interpretation Coordination
- Embed language justice principles into operational workflows.
- Coordinate interpretation services for meetings and events.
- Manage translation needs across teams and liaise with established vendors.
- Identify new translation and interpretation vendors as required.
5. Other Duties
- Participate actively in internal team initiatives.
- Perform other role-related tasks as assigned.
Skills and Qualifications
- Demonstrated commitment to racial, social, and economic justice.
- Ability to collaborate effectively while also working independently and creatively.
- Passion for community-led development, gender equality, and grassroots movements.
- Strong analytical, organizational, and problem-solving abilities.
- Excellent English writing and presentation skills.
- Fluency in additional GFF languages—such as Spanish, French, Hindi, or Nepali—is an asset.
- Minimum 2+ years supporting operational processes for a global team.

- Some international travel may be required, including to GFF core countries and global events.
