The Finance & Program Associate provides integrated financial, administrative, and programmatic support to ensure the effective planning, implementation, monitoring, and reporting of CAN Africa’s projects and organizational operations. The role strengthens financial accountability, supports timely programme delivery, enhances donor compliance, and ensures alignment between approved budgets, expenditures, and programme results.
Working closely with programme teams and organizational leadership, the Associate ensures sound financial management, transparent reporting, and efficient administrative systems, contributing to CAN Africa’s overall effectiveness and credibility.
Key Duties and Responsibilities
1. Finance Management & Accounting
- Finance Management: Implement and maintain efficient financial management systems and internal controls in line with organizational policies and donor requirements.
- Accountability: Produce financial reports, audits, and statements for management, the board, funders, and partners.
- Data Entry: Accurately record all financial transactions in accounting software.
- Documentation: Maintain organized financial records, receipts, invoices, contracts, and supporting documents.
- Reconciliation: Perform monthly bank reconciliations and resolve discrepancies.
- Reporting: Prepare monthly, quarterly, and annual financial reports for internal and external stakeholders.
- Compliance: Ensure adherence to organizational policies, donor regulations, and applicable financial standards.
- Administrative Support: Assist with meetings, agendas, correspondence, and general administrative tasks.
- Program Support: Contribute to the development and implementation of new programs/projects.
- Monitoring & Reporting: Track financial performance and provide updates to the Regional Coordinator and stakeholders.
- Ad-hoc Tasks: Perform other duties as assigned by the Regional Coordinator.
2. Programme Finance Support & Grant Management
- Assist programme teams in developing project budgets and financial plans.
- Monitor project expenditures against approved budgets and flag variances or risks.
- Support donor reporting in line with contractual timelines and formats.
- Contribute to monitoring by compiling data related to financial performance and resource utilization.
- Support grant compliance processes, including contract management, reporting schedules, and financial documentation.
3. Partnership, Fundraising & Resource Mobilization
- Assist fundraising efforts by contributing to donor scoping, engagement, proposal writing, and reporting.
- Support efforts to strengthen partnerships with civil society and networks regionally and beyond.
4. Organizational Administration & Support
- Provide administrative support, including scheduling meetings, preparing agendas, drafting correspondence, and maintaining records.
- Support procurement processes and vendor payments in compliance with policies.
- Contribute to organizational planning, internal reporting, and coordination processes.
- Undertake additional tasks as assigned by the Regional Coordinator.
5. Transparency & Accountability
- Demonstrate transparency and accountability through adherence to best practices.
- Communicate proactively with the Regional Coordinator regarding campaign and project performance, identifying underperformance or capacity needs.
Required Qualifications
- Bachelor’s degree in Finance, Accounting, Business Administration, Economics, Development Studies, or related field.
- Professional accounting qualification (CPA, ACCA, or equivalent) is an advantage.
- At least 3 years of progressive experience in finance, accounting, grants management, or program support within NGOs or development organizations.
- Experience with donor-funded projects, compliance frameworks, budgeting, financial reporting, and audits.
- Experience in regional or multi-country programmes is an advantage.
