Rethink Wellbeing is seeking a highly capable Executive & Operations Assistant to support its CEO Office during a critical growth phase. Founded in early 2023, the organization’s mission is to spread mental wellbeing at scale through engaging, evidence-based, and low-cost programs tailored to community needs.
In 2026, Rethink Wellbeing will continue delivering the CBT Lab—its online group mental health support program—while scaling AI-enhanced initiatives across more than 30 countries. Expansion efforts will prioritize underserved populations in low- and middle-income countries (LMICs), beginning with India and the Philippines.
About the Role
This is not a traditional support position. The Executive & Operations Assistant will act as a force multiplier for the Founder and Executive Director, bringing structure, foresight, and execution excellence to a fast-moving organization.

Position Details
- Start Date: March or April 2026 (preferred)
- Location: Fully remote
- Contract Type: Freelance/Contractor
- Hours: 20–40 hours per week
- Compensation:
- $425–550/month (20h/week)
- $833–1100/month (40h/week)
- Salary benchmarked to India or the Philippines
Key Responsibilities
The Executive & Operations Assistant will:
- Serve as first point of contact for stakeholders, facilitators, participants, volunteers, funders, and partners
- Coordinate cross-functional projects and ensure deadlines are met
- Draft correspondence, briefs, slides, documents, and social media content on behalf of the CEO
- Anticipate leadership needs and proactively reduce workflow friction
- Manage invoices, contracts, deposits, payments, refunds, and legal documentation
- Maintain strict confidentiality with sensitive information
- Implement automation and AI tools to streamline operational systems
The role combines strategic thinking with high-level execution across multiple domains.
Required Profile
Candidates should demonstrate:
- Minimum 2+ years of experience in:
- Executive assistance
- Operations
- Project coordination
- HR or similar fast-paced environments
- Experience with generative AI and automation tools (e.g., Make, Zapier, AI copilots)
- Strong organizational skills and attention to detail
- Excellent written and verbal English proficiency (near-native or native level)
- Ability to manage multiple priorities under time pressure
- Emotional intelligence and interpersonal awareness
- Comfort in fast-changing startup environments
- Technical fluency in tools such as Google Workspace, Slack, Notion, Airtable, and project management platforms
Startup or small-organization experience is highly valued.
