The Humanitarian OpenStreetMap Team (HOT) is hiring a Part-Time Executive Assistant to support the Executive Director in managing high-level administrative, coordination, and strategic support functions. Core Purpose of the Role
This position ensures the smooth functioning of the Executive Director’s office by:
- Managing schedules, meetings, and executive priorities
- Coordinating communication across teams and stakeholders
- Supporting strategic planning and organisational follow-ups
- Handling confidential administrative responsibilities
- Ensuring efficient information flow within a global team
Key Responsibilities
Executive Administrative Support
- Managing calendars, meetings, and travel logistics
- Handling email screening and correspondence coordination
- Preparing briefing notes, presentations, and communications
- Ensuring confidentiality and discretion in sensitive matters
- Supporting timesheet approvals and expense processing
Meetings & Event Coordination
- Organising leadership meetings and external engagements
- Preparing agendas, documents, and meeting materials
- Attending meetings when required and taking minutes
- Tracking and following up on action points
- Supporting event and workshop logistics
Strategic & Project Support
- Tracking organisational priorities and deliverables
- Coordinating cross-team follow-ups for accountability
- Supporting preparation of board documents and updates
- Assisting in creating presentations and talking points
Candidate Requirements
Essential Experience
- 2–3 years in an Executive Assistant, Personal Assistant, or senior admin role
- Experience supporting senior leadership or C-suite executives
- Strong organisational and multitasking ability
Technical & Professional Skills
- Excellent written and verbal English communication
- Strong proficiency in Google Workspace (Docs, Sheets, Slides)
- Ability to learn collaboration tools (Zoom, Teams, Asana, etc.)
- High attention to detail and strong accuracy standards
- Ability to work independently in a remote environment
Personal Attributes

Desirable Qualifications

Working Conditions
This role is structured for remote global collaboration, but requires:
- Availability during core GMT working hours (at least 60%)
- Flexibility to coordinate across multiple time zones
- Independent contractor status (not employment-based)
- Responsibility for own tools and workspace
