Role Overview: Procurement Administrator
The Procurement Administrator provides critical administrative and operational support to ensure smooth procurement processes. Working closely with the Procurement Officer, Grants Team, and Project Leads, the role focuses on efficient coordination, compliance, and accurate documentation.
The position supports the full Request for Proposals (RFP) lifecycle, ensuring all processes align with ACF’s Standard Operating Procedures (SOPs).
Key Responsibilities
RFP Administration & Coordination
The Procurement Administrator supports the preparation and management of procurement processes by:
- Assisting in drafting and formatting RFP documents
- Coordinating internal reviews and approvals
- Ensuring branding compliance with communications teams
- Uploading and managing RFP data on procurement systems
Applicant Communication & Support
This role ensures clear and transparent communication with applicants by:
- Managing queries and maintaining communication records
- Updating FAQ documents and addenda
- Scheduling and coordinating briefing sessions
Bid Evaluation Support
To facilitate fair and structured evaluations, responsibilities include:
- Supporting the Bid Evaluation Committee (BEC)
- Preparing scoring sheets and documentation
- Tracking conflict-of-interest declarations
- Assisting in compiling evaluation reports and recommendations
Documentation & Compliance
Maintaining accurate and audit-ready records is a core part of the role:
- Keeping procurement records in line with retention policies
- Archiving documents securely for audit purposes
- Ensuring compliance with procurement procedures
Contracting & Monitoring Support
The Procurement Administrator also assists in contract and reporting processes by:
- Preparing draft agreements with the Grants Team

Requirements and Qualifications
