Bottomless Closet NYC is seeking a dedicated and organized Program Coordinator – Client Services to support the delivery of high-quality, client-centered programming for women across New York City. Bottomless Closet is a 501(c)(3) nonprofit organization whose mission is to inspire and guide disadvantaged New York City women as they enter the workforce and pursue long-term success. For more than 27 years, Bottomless Closet has supported nearly 50,000 women, offering services completely free of charge to help clients achieve self-sufficiency and confidence.
The organization provides comprehensive career-readiness services, including:
- Professional interview attire
- One-on-one résumé review and interview coaching
- Workshops on professional development, financial management, digital literacy, and personal enrichment
Clients come from diverse backgrounds, including women receiving public assistance, formerly incarcerated women, single mothers, domestic violence survivors, and women living in shelters. Bottomless Closet is deeply committed to dignity, inclusion, and transformative support.
Role Summary
The Program Coordinator – Client Services plays a critical role in ensuring that clients, volunteers, donors, and visitors experience a welcoming, professional, and inclusive environment. Reporting directly to the Program Director, the Coordinator supports daily operations related to client services, workshops, and events while managing administrative systems and data.
This role combines client-facing responsibilities, backend data management, and logistical coordination, making it ideal for someone who thrives in fast-paced, people-centered environments.
Key Responsibilities
Client Services Support
The Program Coordinator will be responsible for supporting smooth, respectful, and efficient client experiences by:
- Creating a welcoming and inclusive environment for all clients, volunteers, donors, and visitors
- Managing administrative and system-related tasks connected to client appointments
- Scheduling and matching clients with Career Coaches based on availability, needs, and expertise
- Supporting client appointments as needed to maintain effective appointment flow
- Managing client exit processes, including surveys, service reminders, and follow-up information
- Identifying potential client stories, quotes, or photos and sharing them with the Communications Manager to highlight community impact
This aspect of the role requires empathy, professionalism, and strong boundary awareness when working with diverse populations.
Data and Systems Management
Accurate data and reporting are central to program quality and accountability. Responsibilities include:
- Inputting and maintaining accurate client and volunteer data in the organization’s database
- Running reports as required to support program tracking and evaluation
- Building and managing workshops and client events in the database and on the website
- Processing workshop registrations, responding to participant inquiries, and troubleshooting issues
- Tracking and recording workshop attendance
- Supporting the delivery of both virtual and on-site programs
The Coordinator may also take on additional projects and responsibilities as assigned by the Program Director.
Required Qualifications
Education and Experience
- Minimum two years of administrative experience
- Associate degree (2-year degree) required
- Bachelor’s degree preferred
Skills and Competencies
- Highly organized and detail-oriented, with the ability to manage multiple priorities
- Strong written and verbal communication skills
- Comfortable working independently while meeting deadlines
- Fast learner with a proactive, solution-oriented mindset
- Strong understanding of appropriate professional boundaries
- Ability to work collaboratively with diverse staff, volunteers, and clients

Language Requirements
- English required
- Bilingual Spanish strongly preferred (and noted as required for language proficiency)
