The Fair Cobalt Alliance (FCA) is inviting applications for a full-time Remote Administrator to provide high-level operational, governance, and administrative support to its Executive Director and Steering Committee. About the Fair Cobalt Alliance

The Fair Cobalt Alliance is a multi-stakeholder initiative hosted by The Impact Facility. The organization works to improve the lives of artisanal and small-scale mining (ASM) communities in the Democratic Republic of Congo (DRC), particularly those involved in cobalt mining.

FCA brings together mining companies, technology firms, civil society organizations, and responsible sourcing initiatives to promote safer working conditions, prevent child labour, strengthen local economies, and improve participation in global value chains.

By supporting sustainable mining practices, FCA aims to create lasting positive change for communities that rely on artisanal mining while promoting responsible cobalt sourcing worldwide.

Position Overview

The FCA Administrator will play a vital role in ensuring the smooth day-to-day operations of the organization. Working closely with the Executive Director, Steering Committee, programme teams, donors, and country office in Kolwezi, DRC, the successful candidate will coordinate governance activities, manage administrative systems, support communications, and help maintain organizational efficiency.

This is a remote, full-time fixed-term contract for 12 months, with the possibility of renewal. Limited travel may be required for meetings and events.

Key Responsibilities

The successful candidate will provide support across several operational areas, including:

Governance and Steering Committee Support

Responsibilities include:

  • Coordinating Steering Committee meetings and governance calendars
  • Preparing agendas, board packs, meeting minutes, and action trackers
  • Supporting Annual Plenary Meetings and Advisory Board activities
  • Maintaining governance documentation, policies, and decision registers
  • Preparing presentations, financial summaries, and work plans

Executive Director Support

The Administrator will:

  • Manage the Executive Director’s calendar and appointments
  • Draft and proofread reports, correspondence, and briefing notes
  • Monitor action items and organizational priorities
  • Coordinate travel arrangements and meeting logistics
  • Support staff meetings and KPI tracking

Programme and Operational Administration

Duties include:

  • Maintaining programme work plans and activity trackers
  • Supporting donor reporting and grant administration
  • Monitoring reporting deadlines and donor calendars
  • Maintaining shared documentation systems
  • Assisting with policy development and risk registers

Country Team Coordination

The Administrator will help strengthen communication between headquarters and FCA’s Country Director in Kolwezi by:

  • Coordinating regular meetings
  • Managing field activity trackers
  • Consolidating updates from programme teams
  • Supporting logistics for field visits and stakeholder engagements

Communications and Stakeholder Engagement

The role also includes:

  • Supporting internal communications and team updates
  • Preparing stakeholder correspondence
  • Assisting with annual reports and publications
  • Updating website and social media content
  • Maintaining stakeholder databases

Financial and Administrative Support

Additional responsibilities include:

  • Assisting with financial reporting documentation
  • Maintaining grant agreements, partnership records, and MoUs
  • Monitoring contract renewals and key administrative deadlines

Candidate Requirements

Applicants should possess:

  • At least three years of experience in administration, coordination, or programme support
  • Experience supporting governance processes, including board meetings and minute-taking
  • Experience coordinating meetings across multiple time zones
  • Knowledge of donor reporting and grant administration
  • Excellent written and spoken English
  • Strong Microsoft Office and virtual collaboration skills
  • Ability to work independently while managing multiple priorities

Experience working with organizations operating in Africa is considered an advantage.

Preferred Qualifications

Candidates with the following experience will stand out:

  • Secretariat or nonprofit governance experience
  • Knowledge of responsible sourcing or sustainable supply chains
  • Familiarity with CRM systems or project management software
  • Fundraising or business development support experience
  • Understanding of the Democratic Republic of Congo or artisanal mining sector
  • French language proficiency
