Role Overview

The Office Administrator will support the organisation’s daily administrative operations while working closely with leadership, employees, vendors, and external partners.

The successful candidate will manage office systems, coordinate administrative activities, maintain records, support staff needs, and ensure efficient workplace operations.

This role requires excellent organisation, communication skills, and the ability to manage multiple priorities in a fast-paced nonprofit environment.

Key Responsibilities

Office Administration

The Office Administrator will oversee general office operations, including:

  • Monitoring office supplies and coordinating purchasing activities.
  • Ensuring compliance with purchasing policies.
  • Managing office-related requests across multiple locations.
  • Coordinating maintenance requests, conference room bookings, building security, and office services.
  • Supporting workplace logistics and operational needs.

Administrative Support

Responsibilities will include:

  • Supporting Operations department projects and administrative tasks.
  • Assisting executive leadership with scheduling and special projects.
  • Managing business travel arrangements for staff and partners.
  • Supporting office moves and organisational logistics.
  • Preparing reports, letters, presentations, and other documents.

The successful candidate will serve as an important connection between internal teams and external stakeholders.

Finance Support Responsibilities

The Office Administrator will provide support to financial operations by:

  • Managing purchasing requests.
  • Reconciling organisational credit card expenses.
  • Supporting invoice processing and approvals.
  • Coordinating contract renewals and administrative agreements.
  • Working closely with the finance team on operational financial processes.

Human Resources and Compliance Support

The role will also assist with HR and compliance activities, including:

  • Updating office policies with HR and leadership.
  • Supporting employee onboarding and offboarding processes.
  • Organising documentation for audits.
  • Maintaining confidentiality of employee and financial information.
  • Monitoring important administrative deadlines and filings.

Required Qualifications

Applicants should have experience in administration, operations, office management, or related fields.

Required qualifications include:

  • Bachelor’s degree or six to eight years of relevant work experience.
  • Strong knowledge of office software, email systems, spreadsheets, and online tools.
  • Excellent written and verbal communication skills.
  • Strong organisational and time management abilities.
  • Ability to manage multiple projects and deadlines.
  • Experience working remotely using tools such as email, Slack, and Google Docs.

Candidates should be comfortable working with people from diverse racial, ethnic, cultural, gender, and social backgrounds.

Preferred Skills and Experience

While not required, the following experience will be an advantage:

  • Experience using Salesforce.

  • Previous nonprofit operations experience.

Salary and Employee Benefits

Food & Water Watch offers a competitive compensation package, with salaries ranging from:

$65,000–$77,000 annually
